Checking Funeral Quotations: Additional Charges and Third-Party Payments

A label alone does not establish a charging problem. A quotation should explain who pays, when approval is needed, what can change and how payments will be documented.

A label alone does not establish a charging problem. A quotation should explain who pays, when approval is needed, what can change and how payments will be documented.

Separate unclear wording from separate arrangements

Under time pressure, relatives may understand the same phrase differently. A price change needs to be considered alongside its cause, the type of expense and what the family knew beforehand. Mark each line as included, pending confirmation, paid on the family's behalf, or supplied by the family. Replace vague wording with information that can be checked and recorded.

What do miscellaneous disbursements mean?

The term may describe third-party payments or separately handled items, but its scope varies between quotations. Ask for the item, payee, inclusion status, approval time and supporting record.

WordingPossible meaningClarification needed
DisbursementPayment or handover arranged for the family.Payee, item, approver and accounting method.
Reimbursement at costSettlement based on actual expenditure.Available evidence, handover time and checker.
Pending confirmationInsufficient information for a confirmed arrangement.Follow-up date, responsible person and update method.
Arranging on your behalfAssistance with contacts or submissions.Actual tasks, completion conditions and family inputs.

Six questions before confirming

These questions clarify scope without assuming wrongdoing. Put the next review time beside unanswered items and keep one quotation with the main contact.

Make “to be calculated later” checkable

That wording may be reasonable while information is incomplete. Ask which condition controls the result and when a reply is due.

Vague wordingInformation to addRecord to retain
Confirm laterWhich organisation confirms, and when?Contact, enquiry date and next reply time.
Depending on circumstancesWhich condition changes the arrangement, and who approves?Conditions and confirmation method.
Handled separatelyBy whom, with what assistance and accounting?Item and receipt or handover record.
As requiredWho identifies the need and when is the family told?Request date, approver and updated version.

Check official charges separately against current FEHD information.

A two-page quotation: look beyond the total

Mr Wai receives two lines marked pending. He does not assume they are included or automatically extra. He asks the six questions, marks confirmed, pending and unnecessary items, and has the main contact keep the dated version.

Printable three-minute review

Check the version date, clear item names, next reply times, family approval of changes, custody of receipts and whether everyone has the same latest copy. Preserve quotations, amendments, payment records and confirmation messages; tell another relative where they are stored.

Frequently asked questions

Are miscellaneous disbursements always unacceptable?

No. The important points are the item, recipient, conditions and evidence.

Is an oral explanation enough?

Record significant inclusions, changes and approvals in writing.

Is every increase unreasonable?

No. Family changes to dates or requirements can change the work. Explain and record the change before confirmation.

Which documents should we keep?

Dated quotations, every revision, payment or handover records and the main contact's approval messages.
