Planning a wake or vigil: family shifts, visitors and venue arrangements
At a glance
Distinguish a wake, a vigil and overnight attendance, and plan venue rules, family shifts, visitors, privacy and rest.
A wake does not automatically mean overnight access
A wake may include condolences and rites, while vigil practices vary by family, religion and venue. Hiring a hall does not automatically permit overnight attendance. Confirm opening, closing, staffing and departure times before planning family shifts.
Visitor reception and family shifts
Appoint one coordinator for the venue and officiant, with others covering visitors, belongings and transport. Include breaks and meals in a shift plan. Extended attendance should not become a measure of devotion. Offer shorter participation options for elderly or unwell relatives and carers.
Make visitor information clear
Include the confirmed date, hall and floor, visiting period, dress or floral preferences, contact and photography policy. Separate private viewing from visitor hours. Avoid promising parking, accessibility or overnight transport that has not been checked.
Incense, paper items, food and safety
Ask staff about rules for incense, burning, food, electrical equipment and displays. Keep aisles, fire equipment and exits clear, and do not extend flowers or belongings into shared areas without permission. Agree an item list before purchasing supplies.
Handover for the following day
Before leaving, check the next day’s arrival, clothing, programme and vehicles. Assign responsibility for belongings and documents and record unfinished tasks in writing. Arrange assistance getting home for exhausted relatives rather than expecting them to drive.
